Fair Day is home to a colourful and electric market where stallholders can connect with the LGBTQIA+ communities. It’s a fantastic place for community groups to meet and recruit new members, for talented designers to sell wares, for entrepreneurs to trial a new product, for small businesses to cultivate new customers, and for farmers and food producers to sell produce.

Kicking off the Festival each year, Sydney’s most vibrant LGBTQIA+ community event is set to return to the picturesque Victoria Park on the first Sunday of the 2025 Festival. Join us for an all-day rainbow adventure that’s for the whole family! 

Applications for Fair Day stalls close 1pm (AEST) Thursday, 19 September 2024. 

Applications will be assessed in late September 2024. If approved, to secure your stall you will have 14 days to make payment, or your stall will be forfeited. Following the unfortunate forced cancellation of Fair Day 2024 over 90% of 2024 applicants rolled over their stall entitlements into 2025, meaning there is only 10% availability for 2025. If your 2025 application is not successful, you can be added to a waiting list. 

Important note: If you are a stallholder who has rolled over, there is no need to reapply and no action is currently required by you. We will continue to be in touch via email with stall information.

2. Consider the following for a successful Fair Day:

3. Complete the online application including your stall structure, electricity, equipment, and any other requirements. You will receive a confirmation email upon successful submission. 

4. Ensure that you have the following information ready for your application: 

  • Main contact details 
  • Australian Business Name / Australian Company Name 
  • Business / organisation name 
  • Stall name 
  • Public Liability Insurance certificate 
  • A description of your stall’s offerings 
  • If you are supplying your own stall structure, the engineering certificate needs to be provided or proof that it meets Australian Standards. 
  • If you are food or beverage business, ensure you have your City of Sydney Temporary Food Stall Registration to submit or have applied 
  • Will you need to hire additional equipment? Mardi Gras can supply a number of items for you, to make your Fair Day easier!

  • Do you have a market stall structure that meets the requirements, or will you need it supplied? 
  • Does your stall require electricity, and do you know how much power your stall will draw? Are your leads tested and tagged or less than 12 months old? 
  • Do you need a generator? You will need to hire a generator via the Mardi Gras. Strictly no BYO generators are allowed on site. Additional power requirements cannot be fulfilled on the day and need to be arranged well in advance. 
  • Are you a Food stall or truck? Food stallholders must hold a City of Sydney Council food license for a temporary food stall, valid at the date of the event. Register your temporary food stall here 
  • Any food stalls or trucks that use gas will require certification. This will be made available through a third-party gas certified plumber, arranged by Mardi Gras.  
  • What will you do to dress up your stall and make it festive? We have a competition for best stall! Make it as fun as possible! 
  • Do you have sponsorship or advertising? Fair Day is made possible by our partners – your sponsors may not be able to be advertised if in direct competition. Please contact the Fair Day team for a chat. fairday.stalls@mardigrasarts.org.au 
  • Will your stall team be able to watch your stall for duration of the day? This includes from your bump-in time and during Fair Day 10am through 6pm (market stalls) or 10am through 8.30pm (food stalls). 
  • How long will it take to set up your stall? Ensure that you have enough staff to help you unload at your allocated bump-in and bump-out times.  
  • To keep the day safe for pedestrians, cars are not allowed on site between 9:00am and bump-out at approx. 9.30pm. This includes props and display vehicles, which can only be taken offsite during these times. We encourage you to walk in your stalls supplies where possible to make it easier for your day. 
  • Have you organised your Public Liability Insurance and do have the details handy for your application? Public Liability Insurance is an essential requirement for all stallholders and must be valid at the time of the event. 
  • Renewing your policy between your application and the event? It is the stallholder’s responsibility to ensure that Mardi Gras have the correct certificate on file. Remember to send through the updated policy to fairday.stalls@mardigrasarts.org.au. Failure to have a valid policy will result in cancellation of your application, or closure of your stall, at any time, without refund. 

5. Payment will be requested once your stall has been approved. Your stall will not be confirmed until payment has been made.

If you wish to use your own stall, your fee will be based on the size of your stall. If your stall is 3-6m wide, you will be charged for a double stall, 6-9m will be charged as a triple. 

BYO stall stallholders must also have current engineering certificates. SGLMG Production will conduct random inspections of stalls to ensure compliance. 

No holes or pegs are permitted on the park surface and all structures must be self-standing and suitably weighted. 

All food stallholders must comply with the requirements of the City of Sydney for operating a food stall. 

The food stallholder will be responsible to supply proof of their temporary food stall registration to Mardi Gras prior to 15 December 2024. 

To comply with NSW Fair Trading gas compliance requirements, and keep the day safe, Mardi Gras will engage an independent third-party Gas certified Plumber to: 

  • inspect all gas containers, gas regulators and gas appliances 
  • test the installation for defects 
  • provide a certificate of compliance 

This process will incur a fee of $20 (inc. GST) for each food stall which will be made available to purchase as an add-on in the online portal once an application has been approved. 

City of Sydney council officers will be present to inspect food stalls at Fair Day. 

The City of Sydney requires all food stallholders to store food in a cool room if stalls are operating for more than three hours. Share cool rooms will be available for hire.  

Please note that items may not be given away or provided free of charge from Food Stalls. 

Should any changes be required to the list in your application, SGLMG will contact you. Please ensure you have read the Terms and Conditions outlining prohibited items. 

Below are items that can be supplied to make your Fair Day easier. 

Track mats are mandatory for food trucks remaining onsite. You may provide your own and will be checked by SGLMG production team. You must supply your own drip tray.

As there are only a limited number of powered sites available, stalls requiring power will be grouped together.  

It is your responsibility to ensure that all electrical appliances, cables and leads on site are appropriately tagged by a qualified electrician in advance. Sydney Mardi Gras Production will conduct random inspections of stalls to ensure compliance with this important request. 

Should you need to hire equipment, this will be available for you to select prior to payment. All Equipment Hire Pricing is inclusive of GST.

Once approval has been granted, applicants will have 14 days to make payment or their successful EOI will be forfeited. 

There is no parking available onsite. Vehicles must be removed from the park by the time specified by SGLMG and may not return to the park until permitted.

Bump in will commence at 5.30am and conclude at 9.00am. 

Vehicle access will be available for drop off. Each zone of the park will be allocated a 30-minute time. If you wish to bump in outside this time you will be able to walk your equipment. Please let the Fair Day team know. 

You must arrive at your allocated time slot if it’s missed, we can’t guarantee vehicle entry to the park. 

Vehicle access at Victoria Park is subject to the regulations and procedures associated for staging events in park, open spaces or streets under the ownership and/or control of the City of Sydney Council. A permit will be provided to you by council which must be displayed on your vehicle to enter the park. 

Partnerships at Mardi Gras showcase the wonderful contribution that businesses make to show support to the LGBTQIA+ community. Sydney Gay and Lesbian Mardi Gras relies on the support of our generous corporate partners and it is important that we identify as early as possible any potential issues or conflicts between our sponsors and our Stallholders. 

If you are a commercial entity, please provide details of your business. If you have any sponsorship or advertising arrangements, please indicate this so that we can work with you to resolve any issues well in advance. 

Stallholders should note that Sydney Gay and Lesbian Mardi Gras’ arrangements with its partners will take precedence over individual Stallholders’ product or service displays at Fair Day, and we will request modification to the appearance of your stall or the range of products you are selling on the day if they conflict with our contractual arrangement. Where Stallholders commercial operations pose a direct conflict with Sydney Gay and Lesbian Mardi Gras partnership arrangements, you may be advised by Sydney Gay and Lesbian Mardi Gras that your participation in Fair Day may not be possible. 

Stalls, to which members of the public have access are to be supervised by responsible and authorised representative at all times when the site is occupied by the public. 

Your stall and surrounds are to be always maintained in a clean and tidy manner. All waste and general rubbish is to be cleared on a regular basis. 

Mechanical and electrical installations including generators, electrical cabling and any mobile structures are to be surrounded or covered by appropriate physical barriers to prevent unauthorised access from the public at all times and protect ground laid cabling from being trip hazards during public occupation of the site. 

No structures or vending areas are permitted beneath the dripline of any tree. 

We love creative giveaways and merchandise at Fair Day. Please ensure these items are also environmentally friendly, benefits everyone while complying with the sustainability policies of SGLMG and City of Sydney. 

  • No single-use plastic items (including plastic water bottles) 
  • No items wrapped in plastic packaging (items to be unwrapped before distribution) 
  • No food or drink (confectionery is permitted) 
  • A limit of 4 staff at a time distributing items (please stay within 5m of your stall and roaming is not permitted) 

Ideally merchandise items should be something that can be reused or made from recycled materials. Think about how this item adds to the Fair Day visitor experience. 

Examples of items that are likely to be given approval include: 

  • Hats 
  • Umbrellas 
  • Paper hand fans 
  • Reusable bags 
  • T-shirts 
  • Sunscreen 
  • Lip balm 
  • Refillable water bottles 

Please provide a photo or design of your giveaway items as soon as possible. All giveaways must be submitted by Friday, 6th December 2024 for approval.
